Rol Description
The Meetings & Events Specialist is responsible for the planning, coordination, and execution of all internal meetings and events in the Madrid office.
This role requires a highly organized and reliable professional who can take full ownership of tasks, operate autonomously, and deliver seamless experiences for employees, clients, and external guests. This is a specialist role focused exclusively on meetings and events, requiring both operational expertise and independent decision-making.
Key Responsibilities
Meetings & Events planning and execution
- Take ownership of end-to-end coordination of meetings and corporate events, ensuring each event meets business objectives and service standards.
- Serve as the primary point of contact for event hosts and internal stakeholders organizing events, including Executive Assistants, Marketing, Sales, IT and Security.
- Plan and execute multiple events simultaneously, managing logistics, catering, audiovisual requirements, and room setups.
- Maintain an up-to-date events calendar and communicate updates proactively to stakeholders.
- Ensure compliance with workplace safety, security, and hospitality standards for all events.
Operational excellence & Process ownership
- Maintain and update M&E documentation, playbooks, checklists, and templates.
- Manage internal systems for event tracking and requests.
- Anticipate operational needs and independently resolve challenges to ensure seamless event delivery.
- Monitor and review event processes to recommend improvements and efficiencies.
Supplier & Budget management
- Manage relationships with catering, rental, AV, and décor suppliers, negotiating pricing and services for quality, flexibility, and cost efficiency.
- Oversee event-related budgets, purchase orders, and invoices.
- Maintain a trusted network to support ongoing and future events.
Stakeholder collaboration
- Build strong working relationships with internal and external stakeholders, ensuring proactive communication and smooth coordination.
- Act as a trusted advisor to event hosts, providing practical solutions.
Candidate Profile
Experience & expertise
- Professional experience in corporate meetings, events, or hospitality.
- Proven ability to independently manage multiple complex events from planning to execution.
- Strong operational knowledge of meeting rooms, catering logistics, and corporate hospitality standards.
- Experience in supplier management, budget oversight, and invoice reconciliation.
Core competencies
- Reliable, proactive, and capable of working independently.
- Excellent organizational, project management, and multi-tasking abilities.
- Strong interpersonal and communication skills, comfortable engaging with senior stakeholders.
- Detail-oriented, accountable, and solution-focused.
- Fluent in English and Spanish (both written and spoken).
